Defining Scheduling Calendars

Various calendars can be defined to provide the desired level of visibility into campus activities. Individual calendars can be restricted to certain locations on campus, to include only specified activities, or to allow only partial calendar viewing options. Once calendars have been created, they can be associated with the View Calendars permission within a user role to provide access as needed. Users with calendar access but no specific calendars applied to their role will have access to an unrestricted, fully functional calendar.

 

To define a new calendar for the system, perform the following:

 

1.Click the Manage Calendars option on the Setup tab.

 

2.Click the Add Calendar button at the top of the calendars list page.

 

3.Enter a name for the calendar being defined.

 

4.Optionally provide a description for the calendar.

 

5.Under Filter Options, in the Location and Resource Restrictions section, click Add Locations to associate certain buildings, regions, or rooms with the calendar. Only those activities using the locations specified will appear on the calendar.

 

6.Click Add Resources to associate certain resource categories, groups, or individual items with the calendar. Only those activities using the resources specified will appear on the calendar.

 

7.In the Pre-Defined Filters section, click Add Filter to make pre-defined calendar filters available from within the calendar. The calendar filters available for selection on this list are the custom filters already created by the user currently configuring the calendar definition. To create additional calendar filter choices, the user must first configure and save filters on the Calendars tab.

 

8.In the Custom Filter Items section, place a check in the box next to Allow Custom Filtering if the calendar should allow a user to customize the data filter when viewing the calendar.

 

9.If custom filtering is allowed, place a check in the box next to the filtering options that should be available to the user. Note that if room or resource filtering is allowed, the filter options are limited by any room or resource restrictions placed on the calendar.

 

10.Finally, under the Display Options section, place a check in the box next to the format options that will be available on the calendar. If the grid view is made available, also select whether rooms, resources, or both are viewable in grid format. Note that if room or resource grids are allowed, the rooms and resources viewable are limited by any room or resource restrictions placed on the calendar.

 

11.Click Save to save your settings and add the calendar to the list of available calendars.
 

NoteNOTE: The location and resource restriction settings limit all activities returned by the calendar, including the data returned by a pre-defined filter assigned to the calendar. However, the settings allowed for custom filtering only impact the choices the user may make when creating filters. These settings do not limit the data returned by pre-defined filters.
