User Setup

Astra Schedule users can be configured to assume various roles relative to accounting functions. Permissions defined within the Astra Schedule role record determine the accounting features to which a user has access. The following permissions may be selected within a role:

•Accounting User

▪This permission is the key to all accounting access. Without this permission, no accounting functions are possible within Astra Schedule, and the user will not be able to log in to the ObjAcct application. Granting this permission grants all accounting permissions by default, except for the Accounting Administrator permission.

•Can Generate Estimates and Invoices in Astra Schedule

▪This permission grants user access to the accounting functions within Astra Schedule events for generating quotes and invoices.

•Can Use Accounting Module Client Application

▪This permission grants user access to the ObjAcct client application. User records associated with this permission are automatically added to the ObjAcct database and maintained thereafter by Astra Schedule.

▪Once a user is granted this permission, they should log in to Astra Schedule before attempting to launch ObjAcct. This will ensure that their user credentials are updated in the ObjAcct database.

•Can View Linked Accounting Reports in Astra Schedule

▪This permission grants user access to ObjAcct reports to which there are quick links provided within Astra Schedule. Examples include event accounting activity reports, customer statements, and room and resource pricing.

•Accounting Administrator

▪This permission grants user access to the accounting setup and batch export options. Additionally, a user with this permission will be mapped to the administrator permission in ObjAcct, granting permission to configure the ObjAcct application.

NOTE: The Astra Schedule accounting permissions only control access to accounting functions within Astra Schedule, and whether or not the user is maintained by Astra Schedule in ObjAcct. Many more permissions exist for controlling user access to the various features of the ObjAcct application.
